• Query on general body meeting minutes

In our AGM of our Society (Falling under Maharashtra Co-op Societies Act 1960) , under the agenda item, Security , one member handed over a letter to one committee member to be read. The letter was a complain against another committee member for some security and parking issue. Half way through the letter reading, the complainant member and the committee member got into an argument. The house suggested that the matter should be taken up separately by Managing Committee and not in AGM.
Should this topic be minuted in MOM of the AGM?? Some members feel that this matter was taken up in AGM without the permission of the chair. Some members feel that the matter went on for quite a duration, without the chair then objecting about it so the matter should be minuted in MOM.
The query is , should the matter be minuted in the MOM of AGM. ??

Yes, this should be minuted in the MOM. That's because non-specific agendas can be taken up in AGM as against in Special General Meetings.

MOM is done with the purposes to record the events, discussions and the decisions taken on the agendas fixed for the meeting, however in some meetings few things has to be discussed thought it is not in the agenda, in this situations it is advised to record the same in the MOM so that every one shall know that this issues are pending for decisions in accordance with rules of society.

The chairperson of the meeting or society can decide whether this matter to be recorded in the minutes book or the same to be expunged.

The decision of the chair shall be final and binding on all the members
